We are an international engineering company operating over three sites in Yateley and are currently seeking a Part Time Receptionist working on our afternoon shift at our large site where we can offer free parking, 25 days holiday, benefits scheme and annual company bonus. The hourly rate for the role is £11.25 per hour working a 23.5 hour week Mon to Fri 12.45pm to 5.30pm with a 5.15pm Friday finish. Working from our modern offices, we can offer an interesting and varied Reception and Admin based role.
The Part Time receptionist will deliver an effective and efficient Reception service to visitors, callers and employees and to consistently promote a professional image of the Company.
To provide a first-class experience to all Company visitors, through the initial welcome and assistance with completion of the signing in/out process (including Health & Safety information), awareness of relevant Company policies & practices, prompt announcement to host of arrival and help with general enquiries during the visit.
To receive and respond to all incoming calls in a timely and professional manner; diverting calls and taking messages where appropriate whilst ensuring accuracy of detail and prompt delivery.
To maintain a tidy Reception area which is welcoming for visitors to promote a positive first impression.
To manage the core administrative processes including ordering and stock control of office stationery, maintenance of records/filing systems e.g. logging in/out of Company pool mobiles etc.
To coordinate the ordering of business cards for all Company offices worldwide, ensuring that personal information is up to date i.e. job titles, mobile phone numbers etc. and that adequate stocks of business cards are held for day to day usage and at peak times for scheduled exhibitions and shows.
Coordinate the ordering of office stationery and ensure adequate stock of all stationery is maintained.
To manage efficient postal service processes for both incoming and outgoing mail; ensuring accurate records are kept, post is distributed in a timely manner, the supply of stamps is maintained and the franking machine always has sufficient credit.
To ensure a comprehensive handover with the other Receptionist each day.
To book meeting space within the building when required.
To check the email quarantine system and release emails as appropriate.
Maintain an accurate record of employees’ holiday and time in lieu.
To create LAN/Wi-Fi access for visitors when required.
Book taxis upon request and ensure the company pays only when Reception are authorised to do so.
Manage lunch arrangements for meetings, understand special dietary requirements and coordinate the booking and delivery of these.
Pro-actively ascertain refreshments required for important meetings (water, etc).
To develop and maintain written procedures detailing all core administrative processes and procedural requirements, in accordance with prevailing Quality standards.
Additional “ad-hoc” tasks – administrative support to other Departments.
To be successful as our part time receptionist you should have proven experience of managing a busy Reception with excellent communication skills both over the phone, in person and in writing. You should be PC literate in Word and Excel and be confident when communicating with stakeholders at all levels. Due to our location, you need to be a car driver and be happy to commit to the afternoon reception shift in a job share with our morning receptionist.
