Receptionist

Job Description:

We are an award-winning company and one of Europe’s leading designers and manufacturers within our field. We employ over 100 staff and due to the holiday season and work load we are now seeking a Receptionist to join our team. Located at our head office in Camberley, you will be available to start ASAP with the working hours being Monday-Thursday 8.30am-5pm and Friday 8.30am – 4pm. We offer an hourly rate of £11 per hour plus holiday accrual with free parking.

The main duties of the Receptionist will be:

Meeting & greeting visitors on arrival, maintenance of the visitor monitoring system, distribution of PPE and informing the relevant member of staff of their arrival

Maintenance of the Contractor Control spreadsheet, issue work permits, provision of a verbal induction & supporting documents

Operating the Company switchboard – receiving & qualifying telephone calls, announcing & connecting callers, taking brief messages and passing these on appropriately or connecting callers to staff members, directing voicemail messages to staff members, maintaining and ensuring the message is appropriate, reporting telephone equipment and line faults to the IT department

Sorting all incoming & frank all outgoing mail on a daily basis, ensure the franking machine is charged and maintained, receive & distribute external faxes

Keeping the Reception area clean and tidy at all times.

Book meeting rooms and maintain the meeting room diary.

Booking any travel and accommodation for staff members as and when required.

Order and monitor the stationary and toner levels on a regular basis.

Ordering stock of coffee, tea and sugar

Management of company uniform issue

Scanning of transactional documents for electronic storage

Maintenance of Company Documentation – template development, updating & rebranding, document maintenance

HS&E Documentation – waste packaging reports, confidential waste disposal, DSE documentation & support, liaison with H&S Consultants, H&S posters, liaison with & support for Contract Cleaners

Material Documentation to ensure regulatory compliance

Production Support – produce specific customer labels, document development

         

To be considered for this role you will have previously worked within a similar role of Reception/Administration, be confident dealing with a variety of people front facing as well as over the telephone, be a good communicator both written as well as verbally, be a quick learner, have excellent attention to detail, be used to working within a fast paced working environment and have good PC skills including Word & Excel.
